Answer Phrase – Greeting
How would you like for us to answer your calls? Our standard greeting is already typed out, but please feel free to edit it to your liking.
How should we identity ourselves if asked?
Under normal circumstances, most of the time, callers won’t know they have reached a third party. However, if a caller asks us, how would you like us to identify ourselves? Here are some examples: the overflow receptionist service, after-hours receptionist service, receptionist service, overflow answering service, after-hours answering service, answering service, and call center.
What information do you want us to collect from the caller?
If the information varies depending on the type of call, please specify. Examples: name, phone, address, source, and so forth.
To minimize callers from calling back we try to set proper expectations. Please let us know what your average time is to follow up with callers, so we can let them know. For example, on estimates you may send an email with the quote within one to two business day, existing clients will receive a call by the end of the next business day, or if a caller is placing an order they will receive an receipt emailed to them and should receive their order within 5-7 days.
How do you want us to deliver your messages/calls? Transfer/Patch Callers
Do you want us to patch/transfer calls to any employees?
Please list everyone and/or departments that we may transfer calls to. Warm transfer means that our agent will pass on relevant information before transferring the call. A cold transfer means the agent will blindly transfer.
Dispatch or Relay Call Information
Select yes if you need us to dispatch work orders, emergency service calls, or other types of calls to your on-call person.
Please include everyone that we will receive a dispatch. Time to Wait is how much time you want to give this person to respond before moving on to a backup contact. The order and scheduling can be placed in the Dispatch and on-call section.
